Overview

MyUltra.Coach ("we", "us", "our") provides AI-powered wellness coaching to members of the Vagus Skool community, through our website and our iOS and Android mobile apps. This policy explains what data we collect, how we use it, who we share it with, and your rights regarding your personal information. It applies to all of our apps and services.

Not a Medical Device

MyUltra.Coach provides general wellness and lifestyle coaching for informational and educational purposes only. It is not a medical device and does not diagnose, treat, cure, or prevent any disease or medical condition, and it does not provide medical advice. Always consult a qualified healthcare professional before making decisions about your health, and never disregard professional medical advice because of something you read or hear in the app. If you think you may have a medical emergency, contact your doctor or emergency services immediately.

What We Collect

When you use MyUltra.Coach, we collect:

  • Account information: Your name and email address. You can create an account with an email and password, or by signing in with Google. We store a securely hashed version of your password (never the plaintext).
  • Membership status: Your subscription status synced from Skool.com (active, free, or lapsed), used to determine your access tier.
  • Health & fitness data: With your explicit permission, we read selected metrics from Android Health Connect and Apple Health to personalize your coaching — heart-rate variability (HRV), resting heart rate, VO₂ max, respiratory rate, sleep, steps, and active calories. We also write Mindfulness session records back to your health platform after a coaching session. See the dedicated "Health Connect & Health Data" section below.
  • Voice & session audio: During a coaching session, your microphone audio is streamed in real time and transcribed to text. With your consent, your session audio may also be recorded and stored securely for up to 180 days to support coaching quality and review, after which it is automatically deleted. If you do not consent to recording, audio is processed in real time and not retained. You can also optionally enable your camera for sessions with a human coach; video is not recorded by the app.
  • Session content: Text transcripts of your sessions and AI-generated summaries, key takeaways, insights, and mood assessments derived from them.
  • Self-reported wellness inputs: Pre- and post-session mood ratings, session intentions, written reflections and notes, goals, onboarding responses (goals, device-usage frequency, baseline wellbeing), and — where you provide them — lifestyle details such as sleep, movement, and diet context.
  • Notifications: Device push-notification tokens (Apple APNs / Google FCM) and your email/notification preferences.
  • Usage data: Session timestamps, durations, streaks, and recommendation/completion status. Our mobile apps do not contain third-party advertising, analytics, or tracking SDKs.
  • Website analytics: On our public website only, we use a single first-party cookie (_ux_t) on the home page to understand how visitors find us. It expires after 13 months and holds only a random visitor identifier — no personal information, no device fingerprinting, no user-agent string. Visitors with Do Not Track enabled are fully excluded.

Health Connect & Health Data

If you choose to connect Android Health Connect (or Apple Health), you grant read access to specific health and fitness data types. We use this data solely to personalize your wellness coaching — for example, to tailor session insights and recommendations to your recent recovery and activity trends. Specifically:

  • We read: HRV, resting heart rate, VO₂ max, respiratory rate, sleep, steps, and active calories burned.
  • We write: Mindfulness session records, after a completed coaching session.
  • We do not use Health Connect data for advertising or marketing, and we do not sell it or share it with data brokers.
  • Health data is transmitted over encrypted connections to our backend to generate your coaching insights, and may be included as context for the AI services described below strictly to produce your personalized summaries.
  • You can revoke this access at any time in your device's Health Connect (or Apple Health) settings, and request deletion of synced health data as described in "Your Rights."

Our access to and use of Health Connect data adheres to the Google Play requirements for Health Connect, including their limited-use requirements.

How We Use Your Data

Your data is used to:

  • Provide and improve your AI coaching experience.
  • Generate personalized session summaries and recommendations.
  • Track your progress and wellness trends over time.
  • Verify your Skool membership status and access tier.
  • Send transactional and (with your consent) informational emails and notifications.
  • Maintain and improve platform reliability, safety, and performance.

We do not sell your personal data, and we do not use your health data or session content for advertising. We share data with third parties only as service providers ("processors") acting on our behalf, as described below.

Third-Party Services

We use the following service providers to operate the platform. They process data only to provide their service to us, under their respective terms:

  • Google (Sign-In & Cloud Messaging): Authentication via Google OAuth and Android push notifications (FCM).
  • Apple Push Notification service: iOS push notifications.
  • LiveKit: Real-time voice/video session infrastructure; also performs session audio recording (egress) to our storage when you consent.
  • Deepgram: Real-time speech-to-text transcription and sentiment/topic analysis of your spoken input. Audio streamed for transcription is not retained by Deepgram after processing.
  • OpenAI: Generates session summaries, insights, and recommendations from your transcripts and coaching context. OpenAI does not use API data to train its models.
  • Anthropic: Used to generate coaching/client profile summaries from interview sessions.
  • DigitalOcean Spaces: Encrypted, private storage for consented session audio recordings, subject to the 180-day retention described above.
  • SendGrid / Resend: Sending transactional and informational emails.
  • Skool.com: We sync your membership status from Skool for access control. We do not send your session data to Skool.
  • Fullscript (optional): Only if you opt in to supplement recommendations, we share your name and email with Fullscript to create a patient profile and fulfill orders. You can opt out at any time.

We host our application and database with reputable cloud infrastructure providers. We do not sell your personal data to anyone.

Data Retention

  • Session audio recordings: Retained for up to 180 days when you consent to recording, then automatically deleted from storage.
  • Transcripts, summaries & account data: Retained while your account is active, and until you request deletion.
  • Lapsed accounts: If your membership expires, your data is preserved for 90 days, after which session transcripts may be archived.
  • Deleted accounts: When you request deletion, we permanently remove your personal data, session transcripts, summaries, health data, and profile information within 30 days (some records required for legal, security, or payment audit purposes may be retained as required by law).

Your Rights

You have the right to:

  • Access: View the data we hold about you through your dashboard.
  • Export: Request a copy of your data in a machine-readable format.
  • Delete: Request complete deletion of your account and all associated data, including health data and recordings.
  • Correct: Update your profile information at any time in Settings.
  • Withdraw consent: Revoke Health Connect / Apple Health access or voice-recording consent at any time.

To exercise these rights, use Settings → Data Management in the app (including in-app account deletion), or email [email protected]. You can also request account and data deletion at myultra.coach/delete-account.

Data Security

We protect your data with:

  • Encrypted connections (TLS/SSL) for all data in transit.
  • Encryption of stored audio recordings and private-by-default storage.
  • Securely hashed passwords.
  • Role-based access controls limiting who can view user data.
  • Regular security reviews of our infrastructure.

Children's Privacy

MyUltra.Coach is not intended for users under 18. We do not knowingly collect data from minors.

Changes to This Policy

We may update this policy from time to time. Material changes will be communicated through the app or email. Continued use of the platform after changes constitutes acceptance.
